When you are considering adopting a new management system for your janitorial company (because perhaps you have just been formed or because you are undergoing a reorganization), several questions are inevitable, in particular: which software is for your janitorial company to choose?

What are the right questions to ask yourself and to ask the potential vendor in front of you in a demo? We have tried to compile a very minimal yet effective guide: 8 questions to ask yourself when you are considering adopting a management system for your cleaning company.

Mini guide: which software for your cleaning company

  • Do you need a new ERP management system?

The answer is it depends. On what? It depends on whether you already have a management system (see point 2) or not. If your company is about to be formed, or is going through a merger or major expansion, it is advisable to opt for management software. Obviously, it is not essential to have a modern and functional management system, but it is advisable, with a view to containing costs, improving business processes, and preserving data.

  • Do you already have a management system? If yes, what aspects are you not convinced about?

If you already have a management system but are not satisfied with it, it is a good idea to ask yourself a few more questions before proceeding to look for a new one. But not only that, you also need to think hard about your business processes, breaking down the enterprise and seeing where you find flaws. If the processes themselves are cumbersome or unclear, the problem does not necessarily lie in management but is internal to the organization of the enterprise itself.

This step having been taken, it is advisable to identify which elements of one's software do not work or do not seem to fit our type of business and act accordingly. Proceed through research, conduct demos of new products, and so on. But beware. It is important to keep in mind that although we are always talking about management software for cleaning companies, each one has its own unique characteristics. Figuring out exactly what you want and communicating that to the new vendor are two great ways to get the best possible product.

  • How are your business processes organized?

Having a clear understanding of how your company operates provides an excellent starting point for adopting new management software. Not only is it easier to communicate what customizations are desired, but it is much easier to introduce the new platform within the various departments. In addition, it is necessary to establish, priorities in requirements and to involve the managers who are going to materially use the system.

  • Is the way you approach it realistic?

How you approach the choice makes all the difference. The new ERP management software will have to work to support your business for a long time. so it is important to make realistic assessments about the functionality it must have. But not only that, the vendor's thinking approach is also important: Does it release new features or enhancements often? Is it available and does it offer an advanced and customized customer support system? All of these elements must be central when choosing. Software is not the only feature to consider.

  • Who will use the software in the company?

Who is going to physically use the management software within the cleaning company? What departments and what type of workers? With what skills and what level of seniority? It is very important not to exclude one's employees at the decision-making stage; they will be the real users of the system.
